Why tree work breaks generic estimate apps
Most invoicing tools are written for trades that bill in predictable units — an hour, a fixture, a square foot. Tree removal does not work like that. Two maples of identical height, one in an open field and one three metres from a hydro service drop, are not the same job and are not the same price. The variable that drives your number is rarely the tree. It is the access, the drop zone, and what has to happen to the wood afterwards.
That means an estimate app is only useful to an arborist if it does two things well: let you assemble a quote quickly from parts you have priced before, and let you show the client why the number is what it is. A single total on a piece of paper invites haggling. A quote that breaks out felling, rigging, chipping, stump grinding and haul-away, with a photo of the obstacle that made rigging necessary, generally does not.
Pricing variables worth building into a template
If you are setting up a rate card for the first time, these are the line items most tree services end up with. Save them once as a template and you are adjusting quantities on site rather than rebuilding the quote each time:
- Felling — banded by height and DBH, since a 40 cm trunk is a different day than an 80 cm one
- Technical removal / rigging — the surcharge for anything you cannot simply drop, whether that is a roof, a fence line, a pool or a service drop
- Brush chipping — usually by volume or by chipper hour
- Log rounds — left on site, bucked to length, or hauled
- Stump grinding — by diameter, with grind depth stated, and priced as an optional line so the client can decide
- Haul-away and disposal — tipping fees are real costs and belong on their own line
- Traffic control or permits — municipal tree bylaws in Ontario vary by town, and where a permit is needed it is a separate, visible cost
Quoting where there is no cell service
This is the practical problem that pushes tree crews back to paper. You drive out to a property on a concession road, the phone drops to nothing, and the app you are using either refuses to save or quietly loses what you typed. So the estimate goes in a notebook, gets typed up at the kitchen table two nights later, and by then the homeowner has already booked someone who sent theirs the same afternoon.

Getting the approval while you are still standing there
Once the quote is sent, the client opens a link — no account, no password, no app to install — and approves or declines it from their phone. That approval is timestamped and attached to the job, which matters more in tree work than in most trades, because you are about to do something irreversible to something the neighbours can see.
When the work is done, the same quote converts to an invoice without re-entering anything. If you keep your books in QuickBooks or Wave, invoices export as CSV in the format those tools import.
Crews, subs and who sees what
If you run a climber and a groundie, or bring in a sub for the crane days, you can give people accounts with limited access. A crew-level login sees the day's jobs, the site photos and the addresses, and can mark work complete — but does not see your pricing or your client list. Owners and estimators see everything.
